The short version

  • We store what you create โ€” courses, notes, sketches, citations, papers, and calendar events โ€” in your secure account so you can access it from any device.
  • Your data is private to you. Firestore security rules restrict every account to its own data; nothing is browsable by other users unless you explicitly share it (e.g. Study Groups).
  • We use trusted service providers โ€” Firebase/Google Cloud (hosting, database, authentication), Stripe (payments), and Anthropic (AI features) โ€” and we don't sell your data to anyone.

Introduction

This Privacy Policy explains how Syllabus Wizard ("Syllabus Wizard," "we," "us," or "our"), a product of Fine Art LLC, DBA Hottakes Lifestyle Syllabus Wizard, collects, uses, shares, and protects information when you use our website and application (the "Service"). By using the Service, you agree to the practices described here. If you don't agree, please don't use the Service.

Information We Collect

Account information

When you create an account, we collect your email address and, if you choose, a display name and avatar photo. If you sign in with Google, we receive the basic profile information Google provides.

Content you create

Syllabus Wizard is built around your coursework, so we store what you create in order to provide the Service: parsed course/syllabus data, notes (typed and voice-dictated), sketches, saved citations, research papers, calendar events, and study group activity.

Payment information

Subscription payments are processed by Stripe. We do not receive or store your full card number โ€” Stripe handles that in a PCI-compliant environment. We retain a record of your subscription status and billing history for account management purposes.

Usage & device information

Like most web services, our hosting and security infrastructure automatically logs standard technical information (such as IP address, browser type, and access times) for security and reliability purposes.

How We Use Your Information

  • To provide, maintain, and improve the Service โ€” including syncing your content across your devices
  • To power AI features such as syllabus parsing, quiz/flashcard generation, textbook lookup, and citation formatting
  • To process payments and manage your subscription
  • To communicate with you about your account, billing, or changes to the Service
  • To maintain the security and integrity of the Service, including detecting misuse

We do not use your course content or notes to train AI models, and we do not sell your personal information to third parties.

How We Share Information

We share information only as needed to operate the Service:

Service providers

  • Firebase / Google Cloud โ€” authentication and database hosting (Firestore) for your account and content
  • Stripe โ€” payment processing and subscription billing
  • Anthropic โ€” AI processing for syllabus parsing and study tools (see AI Processing)
  • Vercel โ€” application hosting

These providers only receive the information necessary to perform their function and are contractually restricted from using it for other purposes.

Study Groups

If you create or join a Study Group, the shared course's content becomes visible to the other members of that group (up to 4 people), by design โ€” that's the point of the feature. Content you don't explicitly share stays private to your account.

Legal requirements

We may disclose information if required by law, subpoena, or other legal process, or when we believe in good faith it's necessary to protect the rights, property, or safety of Syllabus Wizard, our users, or others.

Business transfers

If Syllabus Wizard is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the commitments made in this policy.

AI Processing

Some features โ€” syllabus parsing, quiz and flashcard generation, textbook lookup, and citation assistance โ€” send relevant text (such as your uploaded syllabus content or a lookup query) to Anthropic's Claude API for processing. This text is used solely to generate the response shown to you within the Service and is not used by us or, per Anthropic's API terms, by Anthropic to train their models.

AI-generated content (parsed syllabus data, quiz/flashcard answers, generated citations) may occasionally contain errors. Please review AI-assisted output โ€” especially citations and study materials used for graded work โ€” before relying on it. See our Terms of Service for more.

Security

  • All traffic between your device and our servers is encrypted (HTTPS).
  • Your content is stored in Firestore under access-control rules that restrict each account to reading and writing only its own data โ€” one user cannot browse another user's courses, notes, or files.
  • Sessions automatically sign out after a period of inactivity.
  • We use Stripe for payment processing so that sensitive card data never touches our own servers.

No method of transmission or storage is 100% secure, and we can't guarantee absolute security, but we work to protect your information using industry-standard practices.

Data Retention & Deletion

We retain your account and content for as long as your account is active, so your work is there when you come back. You can request deletion of your account and associated data at any time by contacting us at the email below. We'll delete your data within a reasonable period, except where we're required to retain certain records (such as billing history) for legal or tax purposes.

Your Rights & Choices

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise most of these directly in the app (Settings โ†’ Profile), or by contacting us. We'll respond to verified requests within a reasonable timeframe.

Children's Privacy

Syllabus Wizard is intended for users age 13 and older, consistent with typical secondary and higher-education use. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has created an account outside of an institutional arrangement covered by Schools & Institutions below, please contact us so we can delete it.

Schools & Institutions

When Syllabus Wizard is provided to students through an institutional or classroom arrangement, we intend to act as a "School Official" with a legitimate educational interest under the Family Educational Rights and Privacy Act (FERPA), using student data solely to provide the Service on the institution's behalf and subject to the same restrictions FERPA places on the institution itself.

  • We do not use student data collected through an institutional arrangement for advertising or sell it to third parties.
  • We will delete or return institutional student data upon request or at the end of the institutional relationship, consistent with the institution's instructions.
  • We're glad to execute a Data Processing Agreement (DPA) or institution-specific data privacy agreement for schools evaluating Syllabus Wizard for their students โ€” contact us to request one.
This section describes our general practices and intent. It is not a substitute for a signed institutional agreement โ€” schools with specific FERPA, state student-privacy-law, or procurement requirements should contact us to put a formal agreement in place before deployment.

International Users

Our infrastructure providers (including Google Cloud) may process and store data in the United States. If you're accessing the Service from outside the United States, you understand your information will be transferred to and processed in the United States, which may have different data protection laws than your home country.

Cookies & Tracking

We use essential cookies/local storage needed to keep you signed in and remember your preferences (like light/dark mode). We do not currently use third-party advertising or tracking cookies. If that changes, we'll update this policy.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify you directly. Continued use of the Service after changes take effect means you accept the updated policy.
